When Outreach Gets Awkward: A Real Conversation and What It Reveals About Industry Collaboration

In the email space, as in many B2B niches, outreach and vendor engagement are essential, but they can also get oddly transactional and misaligned. Recently, I had an exchange with a backlink outreach specialist that started full of promise and ended with a quiet, unexplained withdrawal. It struck me as a perfect example of what often goes wrong when outreach becomes more about quick SEO wins than genuine industry engagement.

Here’s what happened (lightly anonymised for courtesy):

Stage 1: The Initial Pitch

“I came across your site and love your content. We’d love to offer a guest post or backlink collaboration that would benefit us both.”

A standard, well-meaning opener. I get a lot of these.

Stage 2: My Response

I explained that:

  • We do courtesy vendor listings without asking anything in return.
  • We appreciate mentions or links back, but they’re not required.
  • We have a paid membership program that allows more visibility.

In other words, we’re building a genuine resource, not a link farm.

Stage 3: The Confusion Sets In

“Would this be a paid listing? We’d be happy to exchange a link or guest post.”

“We are happy to be listed, if you take a backlink or a guest post in return.”

“We are open to a mutual exchange.”

I reiterated: You’re getting listed. There’s no exchange required. You will receive a link. If you feel our work is valuable, we’d love a mention.

Stage 4: The Sudden Goodbye

“Thanks for explaining. After consideration, we’ve decided not to pursue this opportunity.”

No follow-up. No thank you. Just a polite full stop.

So, what went wrong?

On paper, they got exactly what they asked for: a free vendor listing with a backlink. But when it became clear that we weren’t playing the “SEO tit-for-tat” game, the interest vanished. This isn’t the first time I’ve seen it, and sadly, it won’t be the last.

Why it matters

The email industry thrives when vendors, platforms, and experts genuinely engage. If your outreach strategy is only about chasing domain authority, you’ll miss real opportunities for visibility, trust, and long-term impact.
